Terms & Conditions 2026-27
1. Scope and General Information
These Terms & Conditions apply to the registration for and participation in Berlin Balboa Weekend, organised by Balboa in Berlin e.V. (the “Organiser”, “we”, “us”).
The contract language is English.
2. Registration and Contract Formation
2.1 Registration Request
Registration is a prerequisite for participation in Berlin Balboa Weekend.
Submitting the online registration form constitutes a non-binding request to participate in the event. It does not guarantee a ticket or a place.
2.2 Lottery System and Event Balancing
If the number of registration requests exceeds the number of available places, tickets will be allocated by means of a lottery system. In order to maintain a balanced event, lotteries and waiting lists may be administered separately by role (Leader/Follower), pass type and, where applicable, dance level.
2.3 Partnered Registration
For partnered registrations, both dancers must register separately and correctly link their registrations. If one partner fails to register or fails to identify the other partner correctly, the registration may be processed as an individual registration.
2.4 Offer and Confirmation
If a place becomes available, we will send you an email offer containing payment instructions. A binding contract is concluded only upon our allocation of a place and the timely receipt of the full ticket fee within 10 calendar days from the date of the offer email.
If full payment is not received within this period, the offered place may be released to other participants on the waiting list. Partial payments are not accepted.
For partnered registrations, both payments must be received within the applicable deadline in order to confirm both places.
3. Ticket Policy and Non-Transferability
3.1 Personal Tickets
Tickets are personal and issued to the designated ticket holder. Tickets may not be resold, transferred, assigned or otherwise passed on to another person.
3.2 Purpose and Consequences
This policy is necessary to preserve the fairness of the lottery system, to manage waiting lists accurately, and to maintain a balanced ratio of dance roles and workshop levels.
In the event of an unauthorised transfer or attempted transfer, the Organiser reserves the right to refuse entry and declare the ticket invalid. In such cases, there is generally no entitlement to a refund, except where mandatory law provides otherwise.
4. Cancellations and Refunds
4.1 Cancellation Request
If you are unable to attend, you must inform us in writing by email at info@berlinbalboaweekend.de.
4.2 Cancellation Fees
In the event of cancellation by the participant, the following cancellation fees shall apply:
• cancellation more than 2 months before the event: EUR 15
• cancellation between 2 months and 2 weeks before the event: EUR 30
• cancellation within 2 weeks before the event: EUR 60
4.3 Refunds
If payment has already been made, any amount exceeding the applicable cancellation fee will be refunded to the participant.
4.4 Proof of Lower Loss
The participant remains expressly entitled to prove that no loss, expense or damage was incurred by the Organiser, or that such loss, expense or damage was substantially lower than the applicable cancellation fee.
4.5 No Statutory Right of Withdrawal
Pursuant to Section 312g(2) no. 9 of the German Civil Code (BGB), there is no statutory right of withdrawal for contracts relating to leisure events providing for a specific date or period of performance.
5. Class Recording and Teaching Material
Audio or video recording of classes, workshops, teaching material, lesson structures or workshop summaries is permitted only with the prior explicit approval of the respective teachers and the Organiser.
6. Photos and Videos
Photographs and video recordings may be taken during the event by authorised team members for event documentation, promotional purposes and public relations.
Further information on the processing of personal data, including photo and video recordings and your rights in this regard, is available in our Privacy Notice.
7. Event Conduct and Venue Rules
7.1 Respectful Conduct
All participants must behave respectfully, responsibly and safely towards other participants, teachers, musicians, venue staff, volunteers and the Organiser.
7.2 Dance Floor Rules
Street shoes are not permitted on the dance floor. Only clean indoor dance shoes may be worn.
Applying talc, powder, resin, wax or any other substance to the dance floor without the Organiser’s express permission is strictly prohibited.
7.3 Right to Exclude
The Organiser reserves the right to revoke admission or exclude any participant from the event for good cause, in particular in cases of harassment, discriminatory behaviour, violent or abusive conduct, intentional damage to property, or serious or repeated violations of safety rules.
In cases of justified exclusion for good cause, no refund will be provided.
8. Limitation of Liability
8.1 Unlimited Liability
The Organiser is liable without limitation for damages resulting from injury to life, body or health caused by a breach of duty by the Organiser, its legal representatives or vicarious agents, as well as for damages caused intentionally or by gross negligence.
8.2 Liability in Cases of Slight Negligence
In cases of slight negligence, the Organiser is liable only for the breach of essential contractual obligations, i.e. obligations whose proper fulfilment is essential for the due performance of the contract and on which the participant may regularly rely. In such cases, liability is limited to foreseeable damage typical for the contract.
8.3 Personal Belongings
Except as provided in Clauses 8.1 and 8.2, the Organiser shall not be liable for the loss of or damage to personal belongings brought to the event venue, unless such loss or damage was caused intentionally or by gross negligence on the part of the Organiser. Mandatory statutory liability remains unaffected.
9. Changes to or Cancellation of the Event by the Organiser
9.1 Reasonable Changes
The Organiser reserves the right to make reasonable changes to the programme, schedule, teachers, musicians or venue where such changes become necessary due to circumstances beyond the Organiser’s control and do not materially alter the overall character of the event.
9.2 Full Cancellation of the Event
If the event is cancelled in full by the Organiser, payments already made will be refunded. Further claims are excluded, except where mandatory statutory liability applies.
10. Applicable Law
These Terms & Conditions shall be governed by the laws of the Federal Republic of Germany.
If the participant is a consumer and has their habitual residence in another country, mandatory consumer protection provisions of that country shall remain unaffected to the extent required by applicable law.
